What to compare when choosing troop management software

· The MySummitKeep team

MySummitKeep is one of the products in this category, so treat this as a checklist from a participant, not a ranking. MySummitKeep is independent of Scouting America.

The short answer

Decide what you need first, then check each candidate against that list: what your unit already uses, how records move in and out, who can see Scouts’ information, what it costs for the whole unit, whether it works at camp, and who answers when it breaks.

10 questions to ask any product

  1. Which programs does it cover? Troop, pack, crew, ship; Lions through Arrow of Light.
  2. Does it track advancement the way you work? Ranks, merit badges, service hours, positions, boards of review.
  3. How do records get in and out? Can you import from your current system, and export in a form your council accepts? Ask for a sample file.
  4. Who sees what? Parent, youth and leader roles; consent for photos and names; how under-13 accounts are handled.
  5. Where is data stored and how is it protected? Ask about encryption, tenant separation and audit logs.
  6. Does it work without signal? Offline roll call and sign-off matter at camp.
  7. What does the whole unit pay? Per unit versus per Scout, monthly versus annual, what happens when you stop paying.
  8. What is included in the price? Messaging, photos, storage, text messages, payments.
  9. What does support look like? Response times, a knowledge base, a human contact.
  10. What is the exit plan? Can you take your data with you?

Where MySummitKeep fits (our facts)

  • Free Basecamp plan covering roster, events with RSVPs, messaging, advancement for several programs, calendar, imports and the privacy and safety features.
  • Paid plans add operations tools (meal planning, equipment, photos, documents, high-adventure planning, permission slips) and treasurer tools.
  • Import wizard for exports from several common unit-management systems and generic CSV files (member import). Moving from a specific product? See our guides to moving from another tool.
  • Parent-controlled consent before names or photos reach a public unit site; under-13 accounts stay inactive until a parent consents.
  • Offline Camp Mode on Summit.

How to run a fair trial

Pick one real campout and one real meeting. Import last year’s roster into each candidate. Record the meeting’s advancement. Have one parent and one Scout try it. Ask a second leader to find the Eagle paperwork. Compare the time, not the feature list.
