Troop management software for Scouting America units

Rosters, advancement, events, messaging, gear and money for Cub Scout packs, Scouts BSA troops, Venturing crews and Sea Scout ships, in one web-based app with a free tier.

What troop management software should cover

A unit runs on a few recurring jobs: knowing who is in the unit and who their parents are, recording advancement, planning and staffing events, getting messages to the right people, tracking gear, meals and money, and keeping youth information safe. Software earns its place when it handles those jobs in one place, so volunteers are not re-typing the same roster into several tools. Below, each job is paired with how MySummitKeep handles it, the plan that first includes each feature, and a link to the matching how-to guide.

Rosters, families and permissions

A unit starts with an accurate roster. MySummitKeep keeps member profiles with history, links Scouts to households (including shared custody), organizes members into patrols, dens and divisions, and limits what each adult can see or change with role-based permissions. Parents get a portal view of their Scout's progress.

Advancement

Advancement tracking covers Cub Scouts, Scouts BSA, Venturing and Sea Scouts. Ranks and requirements, the merit badge catalog, boards of review and progress reports are part of free Basecamp. The Summit plan adds an IA2-format advancement export.

Events and attendance

Events need dates, sign-ups, a roster and a record of who came. MySummitKeep supports event templates, registration with capacity limits, attendance tracking, patrol assignments with role gaps highlighted, and a meeting agenda planner. Summit adds the annual planning wizard and an offline camp mode.

Communications

Messages should reach the right families without a leader maintaining separate email lists. MySummitKeep includes in-app messaging, unit-wide announcements, a parent communication feed and a leader queue for reported messages. Summit adds sending unit email from your own Microsoft 365 account and unit surveys.

Gear, meals and food

Outings depend on gear and food. Summit includes an equipment catalog with check-out and check-in, patrol box inventory with expiration alerts, meal plans by day and meal, auto-generated shopping lists, and allergen and dietary tracking.

Youth safety and privacy

Health form tracking records whether a current form is on file and does not store the medical record itself. Parental consent for younger members is enforced in the product, sensitive fields get field-level encryption, and changes are recorded in a tamper-evident audit log.

Moving from another tool

A guided six-step import wizard brings data over from Scoutbook, TroopMaster, TroopTrack, TroopWebHost or a generic CSV file, on every plan including free Basecamp. General data export in CSV, PDF and Excel is part of Summit.
